Facilities Manager

We are looking for a highly organised, hard-working and reliable Facilities Manager who can maintain the building and facilities to a very high standard, build a team that currently includes two assistants, and oversee new building projects to improve the facilities. With the development of a new Sixth Form, a new middle school, and in the near future the building of a nursery, this will be an exciting time to be joining the school.

The Site Manager duties are to:

  • Act as the main Health & Safety Officer for the school. Ensuring a safe working and learning environment in accordance with relevant legislation.

  • To monitor the safe storage and control of any potentially harmful materials and chemicals used within the school and ensure that such materials are appropriately marked and signposted.

  • To be responsible for all aspects of the school’s risk management, including all necessary risk assessments are completed and the necessary checks are in place to meet all audit requirements.

  • To be responsible for the line management of the Facilities team, to include participation in their recruitment and selection, identifying their training needs and drawing up their programmes of work.

  • Responsible for the overall security arrangements of the premises including ensuring that staff are aware of the procedures on security and the use of the alarm systems, that there is an appropriate system of key holding management, that periodic reviews of site security are conducted and that appropriate progress is followed through. To issue and monitor the use of keys within the school.

  • Responsible for the maintenance of the site including organising minor structural repairs and decoration that can be done in house; keeping fixtures, fittings and furniture in a good state of repair, maintaining a rolling programme of decoration and refurbishment; controlling litter, and disposal of rubbish and redundant equipment.

  • Ensuring that all statutory and non-statutory servicing and maintenance requirements are met and carried out on a regular basis.

  • Supervision and monitoring of the operation of the cleaning and grounds maintenance contracts to a high standard.

  • Employing contractors for work that cannot be done in-house, ensuring that the school procedures for procurement are followed.

  • Overseeing new building and refurbishment programmes and acting as a point of liaison between contractors and the school.

  • Preparing the site for major events, including the Great Oracy Exhibition, parent evenings and school performances.

  • Responsible for the ordering and checking of invoices, monitoring of budgets and keeping stock records of all equipment and tools within the post holder’s sphere of responsibility.  

  • Preparing premises reports for the school’s Finance Committee meetings.

  • Keeping appropriate records, ensuring that they are available for inspection and provide statistical and other returns, as required, to the Business Manager, Governors and DFE.

  • Creating, monitoring and evaluating a Premises Plan which reflects the priorities of the school and contributes to the values of the school.

  • To be aware of and adhere to applicable school rules, regulations, legislation and procedures, national legislation (Health & Safety, COSHH, Data Protection).

  • Work with the lettings company to ensure smooth running of lettings.

  • To act as the School Safety and Fire Coordinator as laid out in the School’s Health & Safety Policy section.

  • Responsible for your own continuing self-deployment, undertaking training as appropriate.

  • To undertake other duties appropriate to the grading of the post as required.

  • To ensure a seamless running of the school with the setting up, operating and overseeing of systems which ensure that students’ learning opportunities are maximised and that they add positively to the culture of the school.
